Privacy Policy

Overview

Situent is a voice-powered AI time auditor. This Privacy Policy explains what data the App collects, how it is used, and the choices you have. We are committed to protecting your privacy.

Data We Collect and Store

The App stores the following data on your behalf:

  • Voice recordings — audio files you record or upload, encrypted with AES-GCM 256-bit encryption before being stored. For signed-in users, the encryption key is stored securely in your Firebase account so your data is accessible from any device you sign in to. For guest users, the key exists only on your device.
  • Transcripts and schedules — text transcripts and AI-generated daily schedules, stored encrypted in your account.
  • Google Calendar access token — an encrypted OAuth refresh token is stored server-side solely to allow the App to create calendar events on your behalf when you request it. This token is encrypted at rest and is never shared with third parties.
  • Account information — your Firebase Authentication user ID (a random identifier), used to associate your data with your account.

Apart from your email and name, we do not collect phone number, or any other personal identifiers beyond what Firebase Authentication provides.

Google Calendar Integration

If you choose to connect Google Calendar, the App requests permission to create events in your Google Calendar using the https://www.googleapis.com/auth/calendar.events scope.

What we do with this access:

  • We only create new events in your primary Google Calendar when you explicitly press “Export to Calendar.”
  • We never read, modify, or delete any existing calendar events or data.
  • We never share your Google Calendar data with third parties.
  • Your Google Calendar data is not used for advertising, profiling, or AI training.

The App’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

You can disconnect Google Calendar at any time from the App settings. Disconnecting revokes our access and deletes the stored token from our servers.

AI Services

When you use AI features, the minimum necessary data is sent to third-party services:

All API requests use encrypted HTTPS connections. We do not send Google Calendar data to these services.

Data Retention and Deletion

Signed-in users: Your recordings, transcripts, and schedules are stored on our servers and persist across devices. You can permanently delete all of this data at any time using the “Reset My Data” button below. Your Google Calendar connection and account login are not affected by a reset — disconnect Calendar separately from the app settings if needed.

Guest (local) users: Your data is stored only on this device and is never sent to our servers. Clearing your browser data or switching devices will permanently remove it. Use the “Reset My Data” button to clear it manually.

Data Security

All sensitive data is encrypted using AES-GCM 256-bit encryption before leaving your device. For signed-in users, your encryption key is stored in your Firebase account (protected by Firebase Auth so only you can access it), enabling cross-device access to your data. For guest users, the key never leaves your device. Google Calendar refresh tokens are encrypted at rest using server-side keys.

Your Rights

  • You can disconnect Google Calendar at any time, which revokes all access.
  • You can permanently delete all your recordings and schedules using the reset function below.
  • You can stop using the App at any time; your data will remain until you delete it.
